01What the job is
An AI invoice agent reads the bills and receipts that land in your inbox or get photographed on your phone. It pulls out the supplier, date, amounts, tax and line items, checks them against the purchase order or what you expected to pay, and creates a draft bill in your accounting software for you to approve.
It suits any business that pays a steady stream of supplier bills: restaurants, shops, trades, manufacturers, clinics and the bookkeepers who work for them. Most owners keep a person approving every bill before it is paid; the AI does the typing and flags anything that doesn't match.

03What it costs
Ready-made bill-capture tools are cheap at small-business volume. On their own pages: Hubdoc is $12 a month for bills and receipts synced to Xero or QuickBooks Online; AutoEntry starts at $13 a month for 50 credits (one credit per invoice, two with line items).
General document readers like Docparser start at $32.50 a month billed yearly (100 documents a month) and send data anywhere through integrations, but you set up each layout yourself.
You can also build it with Zapier or n8n plus an AI step that reads the PDF (see our lead follow-up guide for their prices). Prices are in US dollars as published; AutoEntry also lists GBP, EUR, AUD, NZD, CAD and ZAR prices, excluding VAT.

05How to set it up
Setup time: Connecting a capture tool to your accounting software takes under an hour. Plan a week of checking every bill it creates before you trust the matching.
- 1
Pull last month's supplier bills and count them, plus how many had a wrong price, quantity or duplicate. That's your baseline.
- 2
Set up one place for bills to arrive: a dedicated email address (for example bills@yourbusiness) that suppliers send to.
- 3
Pick a tool from the table and connect it to your accounting software and that inbox.
- 4
Add your matching rules: supplier names, usual accounts and tax codes, and the tolerance you accept (for example price within 2%).
- 5
If you use purchase orders, turn on PO matching; if not, paste the prompt below into your AI step so it checks bills against last month's prices instead.
- 6
For two weeks, approve every bill by hand and correct anything the AI got wrong. Most tools learn supplier rules from your corrections.
- 7
Then let clean matches go to draft automatically, and keep a person approving payment for anything flagged or over [amount].
06Risks, trust and security
Paying the wrong amount or a fake bill
Never let the AI approve payments. Keep a person approving every payment, and check any bill with new bank details by phone.
Wrong numbers
Scans misread digits. Make it flag low-confidence fields and totals that don't add up, and spot-check a few bills a week.
Duplicates
Suppliers often send the same bill twice. Turn on duplicate checks (AutoEntry lists auto duplicate flagging) and match on invoice number plus amount.
Tax mistakes
Tax codes differ by country. Let the AI suggest a code, but have you or your bookkeeper confirm the rules once per supplier.
Your financial data
Ask where documents are stored and for how long, and who can see them. Give the tool the least access it needs.
07The prompt
Paste this into your tool's instructions box, then replace the highlighted parts.
Agent instructions (prompt)
You check supplier bills for [Business name] before they go into [accounting software]. You never approve payments. You prepare a draft and say what needs a human. FOR EACH BILL, EXTRACT Supplier, invoice number, invoice date, due date, currency, subtotal, tax, total, and each line (description, quantity, unit price, amount). THEN CHECK 1. Does the total equal the lines plus tax? If not, flag MATH ERROR. 2. Is there a matching order? Compare with [purchase order list / last month's prices file]. Flag any line where price or quantity differs by more than [2]%. 3. Have we seen this invoice number from this supplier before? If yes, flag POSSIBLE DUPLICATE. 4. Are the bank details different from [known supplier details]? If yes, flag BANK DETAILS CHANGED and stop. 5. Suggest the account and tax code using these rules: [supplier: account, tax code]. OUTPUT - Status: READY TO DRAFT or NEEDS REVIEW - The extracted fields - A one-line reason for every flag - Never guess a number you can't read. Write UNREADABLE instead.

08Questions owners ask
How much does AI invoice processing cost for a small business?+
On the vendors' own pricing pages (checked 16 Oct 2026): Hubdoc is $12 a month, AutoEntry starts at $13 a month for 50 credits, and Docparser starts at $32.50 a month billed yearly. A DIY Zapier setup can start on its free plan.
Can AI match invoices to purchase orders?+
Yes. AutoEntry lists purchase order matching for QuickBooks and Xero. Without purchase orders, you can have the AI compare each bill with your usual prices and flag differences.
Will it pay my bills automatically?+
It shouldn't. The businesses in our cases keep a person approving: the Maria's Pasta director approves postings before they reach the accounts system.
Does it actually save time?+
In our cases, Asurion's hands-free invoice processing rose from under 20% to over 70%, and Maria's Pasta says its agent handles about 70% of a part-time admin job. These figures come from the companies or vendors; the Maria's Pasta one is marked self-reported.
How long does setup take?+
Under an hour to connect a capture tool to your accounting software. Plan a week or two of checking every draft before you rely on it.
