01What the job is

A sales-to-accounting agent collects what you sold and what you were paid from your shop, marketplace, till or payment app (Shopify, Amazon, Square, Stripe, PayPal and others). It turns each payout into a clean summary in your accounting software, splitting sales, refunds, fees and tax, then matches it to the deposit in your bank feed and flags anything that doesn't add up.

It suits any business selling through more than one channel, or with lots of small transactions: online shops, marketplace sellers, cafes and retailers with a card terminal, subscription businesses, and the bookkeepers who work for them. Most owners keep a person (or their bookkeeper) reviewing the monthly reconciliation.

03What it costs

Dedicated sync tools for online sellers are the reliable option. On their own pages: A2X starts at US$29 a month per sales channel (Shopify, Amazon, eBay, Etsy, PayPal and TikTok Shop; Walmart from US$79) for QuickBooks Online, Xero or NetSuite. Synder Basic starts at $52 a month billed yearly in summary-sync mode ($65 for per-transaction sync), with 500 synced transactions a month.

For simple cases, a DIY flow can post daily totals: Zapier has a free plan (100 tasks a month, two-step only) and Pro from $19.99 a month billed yearly; n8n Cloud starts at €20 a month billed yearly. An AI step can then review the month and explain differences.

Prices are in US dollars (n8n in euros) as published and may exclude tax. Many accounting apps also have built-in bank feeds and payment integrations; check those first.

05How to set it up

Setup time: Connecting a sync tool takes a day. Plan one full month of checking its entries against your bank and payouts with your bookkeeper before you trust it.

  1. 1

List every place money comes in: shop, marketplaces, card terminal, payment apps, invoices. Note roughly how many transactions each has a month.

  2. 2

Ask your accountant or bookkeeper how they want sales recorded: one summary per payout (most common) or every order.

  3. 3

Pick a tool from the table that supports your channels and accounting software, and connect them.

  4. 4

Map the accounts once: sales, refunds, fees, shipping, tax, and the clearing account payouts land in. Get your bookkeeper to check the mapping.

  5. 5

Sync last month only, then reconcile it against the bank. Fix the mapping until it matches to the cent.

  6. 6

Turn on daily or weekly sync. At month-end, paste the reconciliation report into your AI assistant with the prompt below to get a plain-English summary of differences.

  7. 7

Have a person review and sign off the month. Never let the AI change finalised periods.

06Risks, trust and security

  • Wrong tax

Sales tax, VAT and GST rules differ by country and channel (marketplaces sometimes collect tax for you). Have your accountant confirm the tax mapping.

  • Double counting

Don't run two sync tools, or a sync tool plus manual entry, for the same channel. Turn off old integrations first.

  • Silent errors

A broken connection can stop syncing without notice. Reconcile every payout against the bank at least monthly.

  • AI inventing numbers

Use AI to explain and summarise reports, not to create figures. Every number should come from the sync tool or the bank.

  • Financial data access

These tools see your sales and bank data. Check their security (Synder states SOC 2), use two-factor login, and remove unused connections.

07The prompt

Paste this into your tool's instructions box, then replace the highlighted parts.

Agent instructions (prompt)

You help [Business name] review its monthly sales-to-accounting reconciliation. You never create or change accounting entries. You explain what the data shows and list what a person must check.

INPUT
1. Payout or settlement report from [Shopify / Amazon / Square / Stripe] for [month].
2. Sales summary entries posted in [Xero / QuickBooks] for the same period.
3. Bank deposits for the same period.

DO THIS
1. Match each payout to a bank deposit by date and amount. List any payout with no matching deposit, and any deposit with no payout.
2. For each payout, check: gross sales - refunds - fees +/- adjustments = amount paid. Show any that don't add up and by how much.
3. Compare the month's totals for sales, refunds, fees, shipping and tax between the payout reports and the accounting entries. Show differences over [$5].
4. Flag anything unusual: fees much higher than last month ([last month's fee total]), large refunds, chargebacks, reserves held back.

OUTPUT
- A short summary: matched / not matched, total difference.
- A table of every issue: date, channel, amount, what's wrong, what to check.
- Use only numbers from the inputs. If something is missing, write MISSING and say which report is needed.

[Highlighted] = replace with your own details before you run it.

08Questions owners ask

How much does it cost to sync sales into accounting software?+

On the vendors' own pricing pages (checked 16 Oct 2026): A2X starts at US$29 a month per sales channel, Synder Basic starts at $52 a month billed yearly, Zapier has a free plan and Pro from $19.99 a month billed yearly, and n8n Cloud starts at €20 a month billed yearly.

Should every order be posted to my books?+

Usually not. Most bookkeepers prefer one summary per payout with sales, refunds, fees and tax split out. Ask yours before you set anything up.

Can AI do my bookkeeping?+

It can do a lot of the typing and checking. In our cases a solo accounting firm says month-end went from 18 days to 5, and a bookkeeping firm says a 3–4 hour monthly task now takes about 3 minutes. These are their own figures.

Does this work with Xero and QuickBooks?+

Yes. A2X and Synder both list QuickBooks Online and Xero on their pricing pages.

Are these results independent?+

No. They come from the businesses or the vendors' case studies; owner figures are marked self-reported.
