A 156-year-old restaurant's AI phone agent answered 15,000 calls in one season
1 · What happened
About 15,000 calls answered in one season. It texted 2,700 booking links, which the owner links to 12,000+ covers, including 1,660 same-day bookings; it also captured 136 large-party inquiries and saved about 300 staff hours on the phone. Still being fixed: leads piled up because staff didn't open the dashboard daily, and it can't book tables itself because the reservation system has no API (owner's own figures; he also sells the system).
These numbers come from the builder and haven't been checked independently.

2 · How it works, in plain words
Claudio's Waterfront in Greenport, New York, put an AI phone agent on its lines. It answers questions, texts callers a booking link, and logs every call so catering and large-party inquiries get an owner.
3 · Setup steps
How to do it yourself
Our suggested steps. The company didn't publish theirs.
- 1
Count how many calls go unanswered on your busiest nights (your phone provider's call log).
- 2
Write a facts sheet: hours, address, parking, menu notes, dietary options and private events.
- 3
Pick an AI phone tool from our AI receptionist guide and paste in the prompt below.
- 4
If your booking system has no API, have the agent text a booking link instead of booking directly.
- 5
Send large-party and catering inquiries to one named person, and check them every day.
4 · The prompt
The instructions to give the AI
Paste this into your AI tool, swap the [brackets] for your details, and test it on a few real examples.
This is one part of the setup. It won't connect to your phone, inbox or other apps on its own; the steps above cover that.
Agent instructions (prompt)
You answer the phone for [Restaurant name] in [town]. Say you are an AI assistant. Answer questions about hours, location, parking, the menu and dietary options using only the FACTS below. If the caller wants a table, text them our booking link [link] and confirm you sent it. For parties of [10] or more, or private events, take their name, phone number, date, party size and occasion, and email it to [manager email] with the subject LARGE PARTY. If you are unsure, take a message. Never promise a table, a price or a dish that isn't in the FACTS. FACTS - Hours: [hours] - Address and parking: [details] - Menu notes and dietary options: [details] - Private events: [what you offer]
[Highlighted] = replace with your own details before you run it.
What you should get back: Every call answered, a booking link texted to anyone who wants a table, and a daily list of large-party inquiries.

Yes with a ready-made AI receptionist tool and a weekend of test calls. A custom dashboard like theirs needs a builder.
