01What the job is

An AI lead follow-up agent watches the places enquiries arrive (web form, email, text, Facebook or WhatsApp), replies within minutes in your voice, asks the few questions you need, and offers a time to talk or a booking link. If nobody answers, it follows up a few times, then hands warm leads to you.

It suits any business where enquiries sit for hours before someone replies: trades, real estate, agencies, consultants, clinics and online shops. It can also go back through old leads that never got a second message.

03What it costs

Do-it-yourself with an automation tool is cheapest: Zapier has a free plan (100 tasks a month, two-step workflows only) and Pro from $19.99 a month billed yearly; n8n Cloud starts at €20 a month billed yearly. You connect your form or inbox, an AI step and your email or SMS.

All-in-one platforms bundle the CRM, texting and AI: HighLevel's Starter plan is $97 a month ($970 a year), and its AI Employee add-on is $50–$97 a month, plus usage charges for texts, calls and AI.

Some vendors, like Podium, don't publish prices; you have to talk to sales. Texting (SMS) is usually charged per message on top of the plan, and rules for business texting differ by country.

05How to set it up

Setup time: A simple form-to-reply workflow in Zapier or n8n can be built in a day. Plan a weekend to write your answers, connect your calendar and test.

  1. 1

Write down every place leads arrive (web form, email, Facebook, WhatsApp, phone texts) and how long you take to reply today. That is the number to beat.

  2. 2

Write a one-page brief: what you sell, who is a good fit, the 3–5 questions you always ask, prices you're happy to share, and your booking link.

  3. 3

Pick a tool from the table. Start with one channel, usually your website form.

  4. 4

Build the trigger: new form entry or new email with an enquiry. Send it to an AI step with the prompt below.

  5. 5

Have the AI draft the reply and score the lead. For the first two weeks, send replies to yourself for approval instead of to the customer.

  6. 6

Add follow-ups: if no reply after 1 day, 3 days and 7 days, send a short nudge, then stop.

  7. 7

Hand off: when a lead is hot (asks for a price, a visit or a call), text or email yourself straight away with the summary.

  8. 8

Once replies look right, switch to sending automatically and compare reply times and booked calls with step 1.

06Risks, trust and security

  • Wrong prices or promises

Only let it quote what's in your brief. Anything else: 'I'll check and get back to you today.'

  • Spam and consent laws

Email and text marketing rules (like CAN-SPAM, GDPR or local SMS rules) differ by country. Reply to people who contacted you; don't add them to bulk marketing without consent, and always honour 'stop'.

  • Sounding like a bot

Keep messages short and plain, sign with a real name, and say an assistant helps you reply fast if asked.

  • Customer data

Your leads' names and numbers pass through the tool and the AI provider. Check where it's stored (n8n Cloud is in the EU) and limit who has access.

  • Chasing too hard

Cap follow-ups at three and stop as soon as someone replies or says no.

07The prompt

Paste this into your tool's instructions box, then replace the highlighted parts.

08Questions owners ask

How much does AI lead follow-up cost?+

On the vendors' own pricing pages (checked 16 Oct 2026): Zapier is free for 100 tasks a month and Pro starts at $19.99 a month billed yearly; n8n Cloud starts at €20 a month billed yearly; HighLevel starts at $97 a month plus a $50–$97 a month AI add-on and usage. Podium doesn't publish prices.

Does replying faster really win more work?+

Businesses in our cases report it: a one-person business went from 14-hour to 8-minute replies and won 41% of leads instead of about 23%, and a solo realtor's booked meetings rose from about 8% to 21% of leads. These are the owners' own figures, which we mark as self-reported.

Can it follow up old leads?+

Yes. SaaStr's three-person team used an AI outreach agent on old leads and reports $2.7M in closed sales; a contractor scheduling tool says 5–10% of monthly revenue comes from old leads it follows up.

Will it spam people?+

Not if you set it up right: only reply to people who contacted you, cap follow-ups at three, stop on any reply or 'no', and follow your country's email and text rules.

How long does setup take?+

A basic form-to-reply workflow takes about a day in Zapier or n8n. Plan a weekend to write your brief, connect your calendar and test with yourself as the approver.
