01What the job is
An AI quote follow-up agent watches every quote or estimate you send. If the customer hasn't replied after a few days, it sends a short, personal follow-up that mentions the actual job, answers simple questions, and offers to book the work or adjust the quote. When they say yes, no or 'not now', it updates your list and tells you.
It suits any business that sends quotes and then gets too busy to chase them: trades, builders, mechanics, cleaners, landscapers, printers, agencies and B2B suppliers. Most owners let it send polite reminders and keep pricing changes and negotiation for themselves.

03What it costs
If you already quote in a job-management app, check its follow-up feature first. On Jobber's page, automated quote and invoice follow-ups are part of the Connect plan, starting at $99 a month billed yearly (Core starts at $29). Housecall Pro starts at $59 a month billed yearly and lists automated follow-ups in its Pipeline tool.
If you quote from email or a spreadsheet, a DIY flow is cheapest: Zapier has a free plan (100 tasks a month, two-step only) and Pro from $19.99 a month billed yearly; n8n Cloud starts at €20 a month billed yearly. The flow reads your sent quotes, waits, and drafts a follow-up with an AI step.
Prices are in US dollars (n8n in euros) as the vendors publish them, checked on their pricing pages. Texting is usually charged per message on top.

05How to set it up
Setup time: Turning on follow-ups in a job app takes an afternoon. A DIY email flow with an AI step takes a weekend to build and test.
- 1
List the quotes you sent in the last 90 days and mark which got a yes, a no, or no answer. The 'no answer' pile is the money this job recovers.
- 2
Decide your follow-up rhythm, for example day 2, day 5 and day 12, then stop and mark it as lost.
- 3
If you quote in Jobber or Housecall Pro, turn on their follow-ups. Otherwise, keep a simple sheet: customer, email or phone, job, amount, date sent, status.
- 4
Paste the prompt below into the AI step and replace the highlighted parts.
- 5
For the first two weeks, have it draft follow-ups for you to approve before they go out.
- 6
Once the drafts are right, let reminders send automatically, but keep any change to price or scope with you.
- 7
After a month, compare your win rate and 'no answer' count with step 1.
06Risks, trust and security
Annoying customers
Cap it at three follow-ups, space them out, and stop the moment someone replies or says no.
Wrong price or promise
Never let the AI change prices, offer discounts or promise dates. It can only point back to the quote you sent.
Following up on a job already won
Make sure the status updates when a customer accepts by phone or in person, or the AI will keep chasing.
Spam and texting rules
Business email and text rules differ by country. Only follow up with people who asked for a quote, and include a way to opt out.
Your customers' data
The tool reads your sent emails or quote list. Give it access to only the folder or sheet it needs.
07The prompt
Paste this into your tool's instructions box, then replace the highlighted parts.
Agent instructions (prompt)
You follow up on quotes for [Business name], a [type of business] in [City]. You write like the owner: friendly, short (under 80 words), no pressure. INPUT Customer name, job, quote amount, date sent, number of follow-ups already sent, any reply from the customer. WHEN TO WRITE - Follow-up 1: [2] days after the quote. Check they got it and offer to answer questions. - Follow-up 2: [5] days after. Mention one specific detail of the job and offer a time to start: [next available dates]. - Follow-up 3: [12] days after. Ask if they'd like to go ahead, change anything, or close the quote for now. - After 3, stop and mark LOST. IF THEY REPLY - Yes: thank them, confirm the next step [booking link / deposit / call], mark WON and alert [owner]. - Question about the job: answer only from the quote. If unsure, say [owner name] will reply today, and alert them. - Price too high or want changes: don't negotiate. Say [owner name] will look at options, and alert them. - No / not now: thank them, mark LOST or LATER, and stop. NEVER Change the price, offer a discount, promise dates not listed above, or send more than one message per follow-up step.
[Highlighted] = replace with your own details before you run it.

08Questions owners ask
How much does AI quote follow-up cost?+
On the vendors' own pricing pages (checked 16 Oct 2026): Jobber's automated quote follow-ups are on the Connect plan from $99 a month billed yearly, Housecall Pro starts at $59 a month billed yearly, Zapier has a free plan and Pro from $19.99 a month billed yearly, and n8n Cloud starts at €20 a month billed yearly.
How many times should I follow up on a quote?+
We suggest up to three polite follow-ups over about two weeks, then stop. Stop immediately if the customer replies or says no.
Does following up actually win more work?+
In our cases a car mechanic estimates over $10,000 a year recovered from quotes that used to go cold, and a contractor scheduling tool says 5–10% of monthly revenue comes from old leads it follows up. These are the owner's and the vendor's own figures.
Can the AI negotiate price?+
It shouldn't. Let it remind and answer simple questions; keep price and scope changes with you.
Do I need special software?+
No. If you quote from email or a spreadsheet, a Zapier or n8n flow with an AI step works. If you already use Jobber or Housecall Pro, use their follow-up features.
