01What the job is

An AI review-reply tool watches your Google Business Profile. When a new review lands, it writes a short reply in your voice that mentions what the customer actually said, then either posts it or sends it to you to approve with one tap.

It suits any local business that gets reviews faster than it answers them: restaurants, clinics, salons, trades, shops and multi-location groups. Most owners let it handle happy reviews and keep a human on anything 1–3 stars.

02Real businesses doing it

Each one links to our write-up and the original source. Figures marked “self-reported” come from the owner or the vendor and weren't checked independently.

  1. A Miami restaurant now replies to every Google review, in English and Spanish

ResultResponse rate went from about 35% to 100%, average reply time from 3.2 days to 47 minutes, and review time from 4+ hours to about 30 minutes a week over six weeks (vendor-published case study).

03What it costs

This is one of the cheapest jobs to hand to AI. Focused Google-review tools we checked start free (ReplyOnTheFly: unlimited drafts, 5 one-click posts a month; Wimi: 7 replies a week) and paid plans run $9.99–$20 a month for one location.

Broader reputation platforms bundle review requests, texting and widgets: NiceJob's Pro plan, which includes AI replies, is $125 a month. Birdeye doesn't publish prices; you get a quote from sales.

You can also build it yourself with Zapier or n8n plus an AI step (see our lead follow-up guide for their prices), but the ready-made tools are so cheap that DIY rarely saves money.

05How to set it up

Setup time: Connecting your Google Business Profile takes minutes. ReplyOnTheFly's case study restaurant was set up in about 12 minutes. Add an hour to write your voice guide and test.

  1. 1

Check where you stand: open your Google Business Profile and count how many of your last 30 reviews have a reply.

  2. 2

Write a short voice guide: how you greet, how you sign off, words you use, things you never say, and the email or phone for complaints.

  3. 3

Pick a tool from the table and connect your Google Business Profile (you sign in with Google; you never share your password).

  4. 4

Paste the prompt below into the tool's custom instructions and replace the highlighted parts.

  5. 5

Turn on approval for every reply for the first two weeks. Read each draft before it posts.

  6. 6

Then let 4–5 star replies post automatically, but keep approval on for 1–3 stars, legal or health topics, and anything mentioning staff by name.

  7. 7

Once a month, check your response rate, average time to reply and rating, and update the voice guide.

06Risks, trust and security

  • Bad replies to angry reviews

Never let it argue, blame the customer or promise refunds. Keep a human on 1–3 star reviews and take the conversation offline.

  • Privacy

Never confirm someone is a patient or client, or mention health, legal or account details in a public reply. Some tools add safeguards for healthcare and legal businesses; check before you rely on them.

  • Sounding fake

Generic 'Thank you for your feedback!' replies look automated. Make it mention one specific detail from each review and vary the wording.

  • Fake or incentivised reviews

Use AI to reply, not to write reviews or offer rewards for them. Google's policies forbid fake and incentivised reviews.

  • Access to your profile

The tool gets permission to post on your Google profile. Use a reputable tool, and remove its access in your Google account if you stop using it.

07The prompt

Paste this into your tool's instructions box, then replace the highlighted parts.

Agent instructions (prompt)

You reply to Google reviews for [Business name], a [type of business] in [City]. Write like the owner: warm, short (2–4 sentences), and in the same language as the review.

EVERY REPLY
- Use the reviewer's first name.
- Mention one specific thing they wrote about (a dish, a staff member, the service).
- No generic lines like "Thank you for your feedback" or "We value your business".
- Sign off as [Name], [role].

4–5 STARS
Thank them for the specific thing they liked and invite them back for [something worth coming back for].

1–3 STARS
- Apologise for the specific problem. Don't argue, blame or make excuses.
- Say what you'll do about it only if it's true: [real fixes, e.g. "we've added a second host on Fridays"].
- Invite them to contact [email or phone] so you can make it right.
- Mark the reply NEEDS APPROVAL.

NEVER
- Offer refunds, discounts or freebies in public.
- Admit legal fault.
- Confirm someone is a patient or client, or mention health, money or account details.
- Reply to a review that mentions safety, discrimination or legal action. Mark it ESCALATE for [owner name] instead.

[Highlighted] = replace with your own details before you run it.

08Questions owners ask

How much does an AI review reply tool cost?+

On the vendors' own pricing pages (checked 16 Oct 2026): ReplyOnTheFly is free for 5 one-click posts a month and $9.99 a month for Pro; Reply Champion starts at $10 a month; Wimi is free for 7 replies a week or $20 a month per location; NiceJob's Pro plan with AI replies is $125 a month. Birdeye doesn't publish prices.

Should AI reply to negative reviews?+

Let it draft, but have a person approve every 1–3 star reply. The businesses in our cases keep a human in the loop: one approves every reply from email, another flags negative reviews for the owner.

Does replying to reviews help?+

In our cases, a Miami restaurant went from replying to 35% of reviews to 100% and from 3.2 days to 47 minutes, and a 150-store chain went from 24% to 99.8% answered. These figures come from the vendors' own case studies, which we mark as self-reported.

Is it against Google's rules to use AI for replies?+

Replying with AI help is a normal owner reply. What Google forbids is fake reviews and rewarding customers for reviews, so don't use AI for those.

How long does setup take?+

Minutes to connect your Google Business Profile; ReplyOnTheFly's restaurant case took about 12 minutes. Plan an hour to write your voice guide and check the first drafts.
