01What the job is

An AI receptionist is a voice agent that picks up your business phone when you can't. It answers common questions, takes the caller's details, books an appointment or sends you an urgent alert, then texts or emails you a summary.

It fits any business that loses work when the phone rings out: trades, clinics, salons, restaurants, law and accounting offices. Most owners start with after-hours and overflow calls only, so their own team still answers during the day.

03What it costs

Ready-made tools charge a monthly plan with a bucket of minutes, calls or callers. Entry plans we checked start at $0 (Smith.ai, 25 calls) to $29 (Dialzara, 60 minutes); busy-shop plans run about $129–$299 a month.

Build-it-yourself platforms like Retell charge per minute instead ($0.07–$0.31 a minute on its page), plus a phone number. Cheaper at low volume, but you write and test the agent yourself.

Prices are in US dollars as the vendors publish them. Phone numbers outside the US/Canada can cost extra; check before you sign up.

05How to set it up

Setup time: Ready-made tools: Dialzara says most customers go live the same day. Plan a weekend if you write your own FAQ and test properly.

  1. 1

Count your missed calls for one week (your phone's call log or carrier app). This is the number your AI receptionist must beat.

  2. 2

Write a one-page cheat sheet: services, prices you are happy to quote, hours, service area, and what counts as urgent.

  3. 3

Pick one tool from the table. Start with after-hours and overflow only.

  4. 4

Paste the prompt below into the tool's instructions box and replace every [highlighted] part.

  5. 5

Connect your calendar if you want it to book; otherwise have it take a message and text you.

  6. 6

Set call forwarding on your existing number (no-answer after 4–5 rings, and after hours). You keep your number.

  7. 7

Make 10 test calls: a normal booking, an angry caller, an emergency, a price question, a spam call. Fix the prompt after each.

  8. 8

Go live and read every call summary for the first two weeks. Compare bookings to your missed-call count from step 1.

06Risks, trust and security

  • It can say something wrong

Only let it quote prices and promises you wrote down. Tell it to take a message when unsure, and read summaries daily at first.

  • Emergencies

Define what is urgent and have it text or transfer to a person immediately. Never let it give medical, legal or safety advice.

  • Recording and privacy laws

Call recording and AI disclosure rules differ by country and state. Have the greeting say callers are speaking with an AI assistant and that calls may be recorded, and check your local rules.

  • Your customers' data

Ask the vendor where recordings are stored and for how long. Health and legal businesses should ask for a signed data agreement (Retell lists HIPAA/BAA on enterprise terms).

  • Callers who hate bots

Give an easy way out: 'say "person" any time'. Smith.ai includes live human backup if this matters a lot to you.

07The prompt

Paste this into your tool's instructions box, then replace the highlighted parts.

08Questions owners ask

How much does an AI receptionist cost for a small business?+

On the vendors' own pricing pages (checked 16 Oct 2026), entry plans start at $0 (Smith.ai, 25 calls a month) or $29 a month (Dialzara, 60 minutes), with busier plans around $129–$299 a month. Build-it-yourself platforms like Retell charge $0.07–$0.31 per minute.

Can I keep my business phone number?+

Yes. The tools we checked let you forward your existing number to the AI on no-answer or after hours, so customers dial the same number.

Will customers know it's an AI?+

They should. We recommend saying so in the greeting, and some places require it. Give callers an easy way to reach a person.

Does it actually bring in more work?+

Businesses in our cases report results like a salon earning 13.8 times its cost in month one and an HVAC shop booking 71% of calls instead of 55%. Some of these figures come from vendors or the owners themselves, and we mark those.

How long does setup take?+

Dialzara says most customers go live the same day. Plan a weekend to write your facts sheet and make test calls.
