An interiors firm's AI bots filed 2,773 emails and processed 71 invoices in 11 days
1 · What happened
In the first 11 days (8 to 19 Oct 2026) the bots filed 2,773 emails, deleted 892 junk emails, routed 69 bid invites onto a board of 59 active jobs, processed 71 invoices, and checked and applied 75 timesheet edits. The owner says every number comes from the bots' own logs. She doesn't say how much time or money it saved (owner's own figures, posted in reply to a Grok Bot team member asking users what they got done).
These numbers come from the builder and haven't been checked independently.

2 · How it works, in plain words
M&M Interiors, a firm that bids on interiors jobs, has a team of 13 AI bots running its inbox and back office. They file email, clear junk, put bid invites on a shared bid board, process invoices and apply timesheet edits. An estimating bot with read-only access is being tested next.
3 · Setup steps
How to do it yourself
Our suggested steps. The company didn't publish theirs.
- 1
Start with one inbox job: filing email into folders and moving obvious junk. Check what it moved every day for the first week.
- 2
Put every bid or job invite on one shared board (a spreadsheet is fine), so none sit unread in the inbox.
- 3
Add one back-office job next, such as logging supplier invoices or applying timesheet edits, with a person approving anything that gets paid.
- 4
Have each bot keep a log, and count its work every week (emails filed, invoices processed, edits applied).
- 5
Give new bots read-only access first, the way this firm is testing its estimating bot against past bids.
4 · The prompt
The instructions to give the AI
Paste this into Grok (xAI), swap the [brackets] for your details, and test it on a few real examples.
This is one part of the setup. It won't connect to your phone, inbox or other apps on its own; the steps above cover that.
Agent instructions (prompt)
Each morning, go through the [Company] inbox. 1. File every email into one folder: [Bids], [Invoices], [Timesheets], [Clients], [Suppliers]. Move obvious junk and marketing to [Junk]. Never delete anything from a client or supplier. 2. For each new bid invite, add a row to [Bid board]: project, who sent it, due date, link. 3. For each supplier invoice, log supplier, amount, due date and job number in [Invoice log]. Flag any you can't match to a job. 4. Don't pay, reply to or delete anything else. End with a short log: how many emails went into each folder, and anything you weren't sure about.
[Highlighted] = replace with your own details before you run it.
What you should get back: A morning log like: '212 emails filed, 41 junk, 6 bid invites added to the board, 8 invoices logged, 2 couldn't be matched to a job.'

More detail: tools, prices and what you'll need
The company used: Grok Bot (13 bots running 46 routines)
You could use: An AI bot team that runs on a schedule (here Grok Bot) + the company's email, bid board and estimating software
- Grok (xAI)
xAI's AI model, also used in X; its voice API builds real-time voice agents.
Voice agents $0.08/min (xAI API) · Official site ↗
Prices from each tool's own pricing page, checked Oct 2026.
What you'll need
- ☐An AI agent tool that can run on a schedule
- ☐Access to your company inbox
- ☐A bid board or job list (a spreadsheet works)
- ☐An invoice log or your accounting tool
- ☐A person who checks the log each week
Can I do this myself?
Possible if you're comfortable setting up AI bots and testing them on your own inbox for a week or two. Start with filing and junk before you let a bot touch invoices.
